Job Description

The personal assistant role is designed to support Leadership Team (LT) members, with the highest priority given to the CEO. While the primary focus remains on the CEO, the assistant also provides essential support to all LT members.

Main Areas of Responsibility:
Point of Contact

  • Act as the main contact for callers, handling emails and calls by responding directly, forwarding messages, or notifying managers as appropriate, especially for the CEO.

Calendar and Meeting Management

  • Manage diaries and coordinate meetings and appointments. Assist in finding available times for in-person meetings as necessary.

Travel and Accommodation

  • Arrange and book travel, transportation, and accommodation for LT members.

Event and Conference Organization

  • Plan and coordinate events and conferences for the LT and the broader organization. Liaise and provide support to HR for initiatives such as sales conferences, marketing conferences, and cultural celebrations like Nowruz.

Task and Deadline Reminders 

  • Remind managers or executives of important tasks and upcoming deadlines.

Document Preparation

  • Type, compile, and prepare reports, presentations, and correspondence when requested. Manage databases and filing systems as required.

Administrative Procedures 

  • Implement and maintain administrative systems and procedures.

Expense Management and Lunch Coordination:

  • Collate and file expenses and assist with organizing lunch and food orders.

General Manager Support:

  • Perform various miscellaneous tasks to support CEO

Support for Employees with Secondary Location in Dubai

  • Provide company cars or allowances, help with housing and documentation, handle arrivals and expenses, and coordinate with HR teams locally and in Dubai for smooth operations outside Iran.

Knowledge, Skills, Experience Required:
Education

  • University Degree

Work Experience

  • Minimum 5 years of experience in administrative role.

Language Skills

  • High level of spoken and written English

Functional Skills

  • Proficient in standard software packages.
  • with a strong command of MS Excel
  • Word, and PowerPoint.
  • Willingness and ability to learn company specific software and provide IT assistance in meeting rooms.
