Position Summary
The Hiring & HR Manager will lead and manage the full employee lifecycle at Metrobit Inc., from workforce planning and recruitment through onboarding, performance management, employee relations, compliance, and offboarding. This role will establish scalable HR systems, policies, and processes that support business growth, compliance with Canadian employment standards, and a strong employee experience.
Key Responsibilities
1. Talent Acquisition & Recruitment
Develop and maintain job descriptions, competency profiles, and role scorecards.
Partner with department managers to define staffing needs and recruitment strategies.
Create and manage:
Position descriptions (JD development and updates)
Candidate questionnaires and assessment forms
Interview guides, scorecards, and evaluation tools
Manage sourcing through job boards, recruiters, referrals, and talent pipelines.
Conduct resume filtering, candidate screening, and shortlist preparation.
Coordinate and schedule interviews with hiring managers.
Participate in interviews and support selection decisions.
Prepare and issue employment offers and negotiation documentation.
Support employment contract drafting and execution.
Maintain recruitment KPIs (time-to-hire, cost-per-hire, quality-of-hire).
2. Onboarding & Employee Administration
Manage onboarding process and new hire orientation.
Create and maintain employee profiles and personnel files.
Collect, verify, and organize employee documentation, including:
Identification and eligibility documents
Certifications and licenses
Background checks where applicable
Signed policies and acknowledgements
Coordinate system and application setup for new employees:
Email and account provisioning
HRIS/payroll setup
Access cards, software, tools, and equipment
Coordinate onboarding training and mandatory certifications.
3. HR Systems, Tools & Process Management
Administer HR tools and technology platforms (HRIS, ATS, performance systems, attendance tools).
Recommend and implement process improvements and automation.
Maintain HR records, forms, templates, and SOPs.
Ensure data integrity, confidentiality, and secure record management.
4. Training, Development & Performance Management
Coordinate employee training and compliance certifications.
Support learning and development initiatives.
Manage probation reviews and performance review cycles.
Facilitate performance improvement plans where needed.
Support managers in goal setting, coaching, and employee development.
Coordinate salary review and bonus recommendation processes.
5. Employee Relations & HR Operations
Administer leave requests, attendance tracking, and related policies.
Handle employee relations matters professionally and confidentially.
Prepare notices, warnings, disciplinary documentation, and related processes.
Advise management on policy interpretation and HR best practices.
Support employee engagement and retention initiatives.
6. Compensation, Compliance & Labour Relations
Support compensation benchmarking and annual salary review processes.
Ensure compliance with Canadian labour and employment standards.
Maintain awareness of provincial/federal employment regulations.
Manage communication and reporting with relevant Ministry of labour
Support audits, compliance reporting, and policy updates.
7. Offboarding & Separation Management
Manage resignation and termination processes.
Prepare termination documentation and coordinate settlements/final pay.
Conduct exit interviews and track turnover trends.
Ensure proper recovery of company assets and systems access removal.
