
Executive Assistant (Office Secretary)

We are looking for a mature, organized, and detail-oriented professional to join us as an Executive Assistant / Office Secretary. In this role, you will support senior managers in managing daily office activities, executive coordination, administrative follow-ups, and business communications.
This position is a great fit for someone who enjoys bringing order to a busy work environment, communicates with confidence and respect, follows matters through to completion, and is comfortable using English at an advanced level for business correspondence, coordination, and professional communication.
Key Responsibilities
Coordinate meetings, appointments, phone calls, and daily schedules for senior managers.
Follow up on assigned tasks and ensure they are completed on time.
Prepare, send, receive, organize, and archive official correspondence and documents.
Take meeting minutes, record key decisions, and follow up on action items.
Coordinate with internal departments and external contacts in a professional and respectful manner.
Support the daily organization of the executive office and help manage priorities.
Assist with business-related coordination and international communications, especially in relation to Middle Eastern markets.
Handle professional correspondence, follow-ups, and coordination in advanced English.
Support senior managers in administrative, commercial, and day-to-day office matters.
Contribute to a smooth, organized, and positive office environment.
Requirements
Bachelor’s degree in Management, Social Sciences, Industrial Engineering, English Language, Office Administration, or a related field.
Minimum 7 years of relevant experience as a Secretary, Office Secretary, Executive Assistant, Personal Assistant, or Office Coordinator.
Advanced English proficiency, especially in business correspondence, professional writing, email communication, scheduling, and coordination.
Good command of Microsoft Word, Excel, PowerPoint, Outlook, and common office tools.
Ability to manage several priorities at the same time with calmness, accuracy, and structure.
High attention to detail, responsibility, discipline, and confidentiality.
Professional appearance and appropriate workplace presence.
Mature, respectful, and professional behavior aligned with the nature of the role.
Ability to communicate effectively with managers, colleagues, and external stakeholders.
