Azar Danesh Rasta "RASTA" is seeking a professional, organized, and reliable Executive & Administrative Assistant to support the Chief Executive Officer (CEO) and assist with the company’s daily administrative operations.
This position is suitable for a detail-oriented person with strong communication skills, excellent follow-up discipline, and the ability to manage confidential information with professionalism. The successful candidate will play an important role in supporting executive coordination, internal communication, administrative documentation, meeting follow-up, and office operations.
Key ResponsibilitiesThe Executive & Administrative Assistant will be responsible for duties including, but not limited to:
- Manage and coordinate the CEO’s calendar, meetings, reminders, and follow-up actions.
- Prepare meeting agendas, meeting minutes, action lists, internal notes, and follow-up reports.
- Coordinate communication between the CEO and internal departments.
- Follow up with department leads and team members regarding assigned tasks, deadlines, and pending actions.
- Prepare, organize, file, and maintain administrative records and company documents.
- Support document control activities, including formatting, naming, storing, and circulating internal documents.
- Assist with HR and administration activities such as onboarding coordination, employee records, attendance support, internal forms, and administrative requests.
- Coordinate office operations, including visitors, calls, courier, supplies, appointments, and general office needs.
- Support internal meetings, company events, training sessions, and management reviews.
- Maintain confidentiality of company, employee, financial, commercial, and strategic information.
- Communicate professionally with employees, clients, suppliers, and external contacts.
- Support implementation and continual improvement of internal procedures and the company’s Quality Management System.
- Perform other administrative tasks assigned by the CEO within the company’s policies and procedures.
Required Qualifications- Diploma or bachelor’s degree in business administration, office administration, communications, management, or a related field.
- Minimum 1 year of experience in administration, executive assistance, office coordination, or a similar role.
- Strong English communication skills, both written and verbal.
- Strong organizational skills and attention to detail.
- Excellent follow-up, time management, and task-tracking ability.
- Proficiency in Microsoft Office, Google Workspace, email, calendar tools, and general office software.
- Ability to handle confidential information with discretion.
- Professional attitude, reliability, and strong sense of responsibility.
- Ability to work independently and coordinate with multiple departments.
Preferred Qualifications- Experience supporting senior management or executives.
- Experience with document control, internal procedures, or ISO/QMS-related documentation.
- Experience in an engineering, procurement, technical, construction, or project-based company.
- Familiarity with CRM, task management, or project coordination tools.
