Job Description
The Bids and Tenders Specialist is responsible for managing assigned tender opportunities from initial review through final proposal submission. The role requires strong coordination, commercial awareness, supplier sourcing skills, attention to detail, and the ability to manage multiple deadlines simultaneously.
The specialist will review tender requirements, identify suitable suppliers, obtain and evaluate quotations, coordinate technical and commercial information, support pricing activities, prepare compliant proposal documentation, and ensure assigned bids are completed accurately and on time. This is a fast-paced, deadline-driven position requiring strong ownership, follow-up, and prioritization skills.
Duties and Responsibilities
Take ownership of assigned tenders from initial review through final proposal preparation.
Review tender documents, RFPs, RFQs, and other bid opportunities to identify technical, commercial, contractual, eligibility, and submission requirements.
Review newly assigned opportunities promptly and identify key requirements, risks, deadlines, and potential barriers to participation.
Identify and source suitable manufacturers, suppliers, subcontractors, and service providers for required equipment, materials, and services.
Prepare and issue requests for quotation or information and actively follow up with suppliers to obtain complete, compliant, and competitive offers.
Review and evaluate supplier quotations, technical documentation, commercial terms, delivery schedules, warranties, payment terms, and other relevant conditions.
Prepare commercial comparisons and bid evaluation reports.
Coordinate with suppliers and internal teams to obtain technical, commercial, financial, and administrative information required for proposal preparation.
Identify technical, commercial, contractual, eligibility, and delivery risks and escalate potential issues early.
Prepare clarification questions and coordinate responses related to tender requirements when required.
Participate in commercial negotiations with suppliers and support selection of the most suitable and competitive offers.
Prepare, compile, and review proposal documentation to ensure completeness, accuracy, consistency, and compliance with tender requirements.
Monitor tender schedules and internal deadlines and ensure assigned bids are completed and ready for submission on time.
Proactively communicate any issue that may affect the successful or timely completion of an assigned tender.
Maintain accurate and organized records of tenders, quotations, evaluations, correspondence, supplier documentation, and supporting information.
Monitor supplier responsiveness and performance and contribute to supplier evaluation and development activities.
Participate in internal and external meetings related to tenders, suppliers, clients, and proposal requirements.
Perform assigned responsibilities in accordance with departmental procedures, company policies, established KPIs, and submission targets.
Contribute to continuous improvement of tendering, sourcing, proposal preparation, and supplier management processes.
Job Requirements
Bachelor’s or Master’s degree in Engineering or another relevant technical or commercial field (Electrical and Mechanical Engineering preferred).
At least 2 years of experience in bidding, tendering, procurement, sourcing, proposal preparation, technical sales, or a related role.
Strong written and verbal communication skills in English.
Ability to review and interpret technical, commercial, contractual, and tender documentation.
Strong analytical skills and attention to detail, particularly in quotation comparison, compliance review, and commercial evaluation.
Strong supplier communication, follow-up, and negotiation skills.
Ability to manage multiple tenders simultaneously while working under strict and competing deadlines.
Strong planning, prioritization, organization, and time-management skills.
Ability to identify problems early, escalate risks appropriately, and work proactively toward solutions.
Ability to work effectively with suppliers, clients, internal departments, and other stakeholders.
Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
Self-motivated, accountable, organized, detail-oriented, and capable of working both independently and as part of a team.
