1) Register and maintain complete, accurate IT asset records in the ManageEngine Asset/CMDB module, including asset type, brand/model, serial number, IT and finance tags, status, site, company, custodian, warranty, and lifecycle history.
2) Receive and inspect equipment and accessories; tag, record, issue, return, transfer, and hand over items to the warehouse while completing the required documents and maintaining a traceable movement history.
3) Review the Asset module and related tickets daily; correct incomplete, duplicate, or inaccurate records, reconcile system data with physical inventory, and follow up with the warehouse, Service Desk, Procurement, and users through closure.
4) Perform periodic PM/physical verification across departments and sites; visit users, identify unregistered, missing, surplus, or misassigned equipment, correct records, and document and escalate unresolved discrepancies.
5) Support onboarding and particularly offboarding asset recovery by contacting users, scheduling handover or collection, verifying all equipment and accessories, tracking overdue returns, and escalating non-responses.
6) Produce weekly, monthly, and ad hoc reports on inventory, assignments, movements, overdue returns, discrepancies, and Repair/Reserve/Dispose status; maintain documentation, support audits, and recommend process improvements.
Requirements
1) Minimum 1 year of relevant experience in IT asset management, IT equipment warehousing, Service Desk, or IT operations; multi-company or multi-site experience is preferred.
2) Working knowledge of end-user hardware, peripherals, and identifiers such as serial number, MAC address, IT asset tag, and finance tag, plus safe equipment handling and storage practices.
3) Ability to work with ITAM/CMDB or ticketing systems; ManageEngine experience is preferred, with strong accuracy in data entry, data-quality checks, and discrepancy resolution.
4) Strong Microsoft Office skills, especially Excel, including Sort/Filter, lookup formulas such as XLOOKUP/VLOOKUP, PivotTables, and preparation of control lists and reports.
5) Strong organization, ownership, follow-up, communication, and teamwork; willingness to visit sites and handle equipment, with intermediate English for system use and routine correspondence.
